A CRM shaped around your sales process, not the other way round

Leads, opportunities, quotes and follow-ups in one system, connected to your website, your invoicing and your stock.

Most companies do not abandon their CRM because it lacks features. They abandon it because entering data takes longer than the sale is worth. We build the version your team will actually keep updated.

We reply the same working day. No obligation.

Situations

Three signs your CRM is not working.

01

The real pipeline lives in a spreadsheet

There is a CRM, but the salespeople keep their own file because it is faster. Management reports from one source and the team works from another.

You are paying licences for a system that describes a pipeline nobody is actually using.

02

Leads arrive and go cold

Enquiries come from the website, from campaigns and from the phone, and land in an inbox. Follow-up depends on whoever remembers.

Most lost deals are not lost to a competitor. They are lost to silence.

03

Quoting takes half a day

Prices come from one system, stock from another, and the document is assembled by hand each time — differently, by each person.

Benefits

A pipeline the team maintains

Because updating it takes seconds, not minutes.

Leads captured automatically

Website, campaigns and email land in the CRM with their source intact.

Quotes generated from real data

Current prices and stock, in your template, in one click.

No per-user licences

You add people to the team without your monthly bill going up.

What you get

What a custom CRM includes.

Not a database of contacts. The system your sales process actually runs on.

  • Your pipeline, your stagesStages named as your team names them, with the rules and the required fields you actually use.
  • Automatic lead captureWebsite forms, campaigns, email and phone, arriving with source, campaign and full context.
  • Companies, contacts and opportunitiesStructured the way you sell — by account, by project, by site, or however your business works.
  • Quote generationDocuments built from live prices and stock, in your template, with version history.
  • Follow-up automationReminders and sequences triggered by stage and by time, so nothing goes quiet by accident.
  • Activity historyCalls, emails, meetings and documents against the account, visible to whoever picks it up next.
  • Roles and permissionsWho sees which accounts and which figures, with an activity log.
  • IntegrationsInvoicing, stock, email, calendar and your website, wherever an API exists.
  • ReportingPipeline value, conversion by stage, cycle length, source performance and forecast.
  • Migration of existing dataContacts, history and open opportunities from spreadsheets or your current CRM.
  • Training and handoverA session with the salespeople who will live in it every day.
Business types

Where this fits.

B2B sales with long cycles

Multiple contacts per account, several stages and quotes that evolve. Where generic CRMs lose the thread.

10–16 weeks

Distribution and wholesale

Customer-specific pricing, repeat ordering, credit terms and stock visibility inside the CRM.

12–16 weeks

Professional services

Enquiry to proposal to project, with the handover to delivery kept in the same system.

8–14 weeks

Manufacturing and made-to-order

Specifications, configurations and technical quotes, connected to production capacity.

12–16 weeks

Field sales teams

Mobile-first, usable in a car park between visits, working offline where the signal is poor.

10–14 weeks

Replacing an abandoned CRM

We start from why the last one failed. Usually it was data entry effort, not missing features.

after the audit

Process

Five steps, starting from a real deal.

01

We follow one deal end to end

From first enquiry to signed order, with the people who handled it. That is where the real stages are, not on the org chart.

02

Model and proposal

Pipeline stages, required fields, permissions and integrations, with estimated hours per module.

03

Prototype

The screens a salesperson uses twenty times a day, validated before development.

04

Build and integrations

Pipeline, quoting, automation and connections to invoicing, stock and your website.

05

Migration and adoption

We bring across existing data and stay close through the first month, when adoption is decided.

How we build

A CRM succeeds or fails on data entry, not on features.

Every abandoned CRM was abandoned for the same reason: keeping it updated cost the salesperson more than it gave back. Everything we build is designed against that.

Premium solution

Built for the person using it, not for the report

Management wants forecasting. Salespeople want to spend their time selling. A CRM only produces a reliable forecast if the people entering the data get something back from it — faster quotes, automatic follow-ups, context they would otherwise have to remember. We design for the salesperson first, because the report depends on them.

  • Seconds, not minutesUpdating a deal happens in a few clicks. Anything slower gets skipped on a busy day.
  • Data arrives on its ownLeads, emails and website activity land in the record without anyone copying them across.
  • Quotes in one clickBuilt from live prices and stock, in your template, with the history kept.
  • Follow-ups that fire themselvesSequences by stage and by time, so a deal never goes quiet because someone was busy.
  • No licence per seatAdd the whole team, including part-time and back office, without a cost decision.
  • Your data stays yoursCustomers, history and pipeline in your own database. You can export or move it at any time.

We have built distributor portals and quoting systems where customer-specific pricing, stock and order history come together in one place — the same foundations a CRM needs.

Worth knowing: if a standard CRM covers 90% of your process, use it. This is worth building when your sales process has rules that generic tools force you to work around — and when working around them is what killed the last CRM.

Quoting and proposals

Generated, not assembled

Documents built from live pricing and stock, in your template, with versioning and approval where the value requires it.

Suited when quoting currently takes hours and every salesperson does it differently.

Customer portal

Self-service for regular buyers

Accounts where clients see their pricing, order history and documents, and reorder without calling.

Suited to distribution and to any business with repeat B2B customers.

AI on the pipeline

Qualification and summaries

Incoming enquiries scored and routed, long email threads summarised, next actions suggested from history.

Suited when lead volume exceeds what the team can triage carefully.

Our rule: Start with a standard CRM. Move to a custom one when you find your team maintaining a spreadsheet alongside it — that is the signal that the tool is fighting the process rather than supporting it.

Adoption

A CRM nobody updates is a very expensive address book.

The only meaningful measure is whether the pipeline in the system matches the pipeline in your salespeople's heads. Everything else follows from that.

Share of deals kept current

If the spreadsheet survives alongside the CRM, the CRM has failed.

Time to produce a quote

Usually the fastest and most visible gain.

Lead response time

How long an enquiry waits before someone acts on it.

Forecast accuracy

Only possible once the data is genuinely maintained.

A concrete example: in a distributor portal we built, customer-specific pricing and stock availability are resolved automatically, so a quote that used to require two systems and a phone call is produced in one place.

Frequently asked questions

How is the price set?

We work on an hourly rate: €50 per hour, excluding VAT. The price comes from the number of estimated hours rather than from a fixed package. You receive a proposal in which each module carries its estimated hours and cost.

Is this an off-the-shelf product?

No. This is a system built around how your organisation already works. We start from your workflow, your rules and your existing software, then build what fits. That is why it costs more than a subscription tool — and why people actually use it.

How long does it take to build?

A focused CRM for a services business takes 8–14 weeks. One with customer-specific pricing and stock integration takes 12–16 weeks. We deliver in modules, so the pipeline can be in use before quoting and reporting are complete.

Why not just use a standard CRM?

If one covers your process, you should. We build custom when the standard tool forces workarounds — and when those workarounds are the reason your team keeps a parallel spreadsheet. That is a process problem the licence fee will not solve.

Can you migrate our existing data?

Yes. Contacts, companies, history and open opportunities from spreadsheets or from your current CRM. It is a separate stage in the proposal with its own hours, because the duration depends heavily on the state of the data.

Will it connect to our invoicing and stock systems?

Yes, wherever they expose an API. That connection is usually the point: it is what lets a quote be generated from live prices and stock rather than assembled by hand.

How do you make sure the team actually uses it?

By designing for the salesperson rather than for the report. Updating a deal takes seconds, leads arrive without manual entry, quotes generate themselves and follow-ups fire automatically. People maintain systems that give them time back.

Does it work on mobile?

Yes, and for field teams we design mobile-first: usable between visits, on a phone, with the essential actions reachable in one or two taps.

Who owns the system and the data?

You do. Code, database, customer records and integrations, with no per-user licences. You can export everything or move to another developer at any time.

What would you like us to build?

You can pick more than one.

Tell us how you actually sell.

You do not need a specification. Walk us through one recent deal from enquiry to order. We reply with what we would build, in what order and with the estimated hours.
