We connect to your system through the interface it already exposes — REST or SOAP — without modifying your management software. Synchronisation runs in scheduled batches for high volumes and instantly for critical events such as a new order or a stock change.

On the Hypericum project we built the web service integration between the stock management software and the online store: products, prices and stock levels update themselves across hundreds of lines.

Worth knowing: the integration depends on what your system exposes. If your management software has no API or web service, we check the alternatives together before we estimate anything.

The invoice is issued automatically when the order is placed, sent to the customer and recorded. At high volume the issuing runs asynchronously so it never slows checkout.

Our rule: We choose the hybrid approach for most projects: stock and prices sync on an interval, orders and payments sync instantly. That way your data stays correct without overloading your management software.

Reliability

An integration is judged by how it behaves when something breaks.

Servers go down, APIs have limits, data arrives incomplete. A serious integration anticipates that rather than stopping at the first exception.

Frequently asked questions

How is the price set?

We work on an hourly rate: €50 per hour, excluding VAT. The price comes from the number of estimated hours rather than from a fixed package. You receive a proposal in which each module carries its estimated hours and cost.

Can you integrate the management system we already use?

Yes, provided it exposes an API or a web service. We have built synchronisations between stock software and WooCommerce stores covering hundreds of products, with stock and prices updating automatically. The first step is to check what interface your software vendor provides.

What if our system has no API?

There are alternatives: scheduled file exports, direct database access where the vendor allows it, or an intermediate layer built by us. These are more fragile than a proper API, and we tell you that beforehand rather than afterwards.

How long does an integration take?

An invoicing or carrier integration takes 2–4 weeks. A full synchronisation between stock software and an online store takes 6–10 weeks. The timeline depends heavily on the quality of the data in the source system and on how quickly we receive access.

Does it synchronise both ways?

Yes, where that makes sense. Typically products, prices and stock flow from the management system to the store, while orders and customers flow back. We establish clearly which system is the source of truth for each field, so conflicts do not arise.

What happens when a sync fails?

It retries automatically. If it still does not succeed, you receive an email alert and it stays in the log with the exact reason. Workflows that fail silently are more dangerous than no integration at all.

Will the integration slow the site down?

Not if it is built correctly. High volumes are processed in batches outside user requests, and slow operations run asynchronously. We have optimised stores where issuing the invoice was blocking order completion.

Can we start with a single integration?

Yes, and we recommend it. We pick the workflow with the biggest time saving, take it to production and validate it. The second costs less, because the infrastructure and the credentials already exist.

What happens after implementation?

We stay on for monitoring. APIs change, versions update, and integrations need maintaining. We check periodically that everything runs and step in before it becomes a problem.
